Who we are
This site is run by Responder MAX, LLC of Ashland, Virginia. It explains FD Santa Tracker to fire departments and other public safety organizations.
The FD Santa Tracker service itself, including department tracking pages at fdsanta.com, is covered by its own Privacy Policy and Terms of Service. This site adds no tracking code of any kind to fdsanta.com.
What we collect
When you send the interest form
The form asks for your first name, last name, work email, agency name, agency type, and state. A message is optional.
Your submission goes straight from your browser to HubSpot, the customer relationship management service we use. We record that it came from this site and the page you sent it from. As with any web request, HubSpot receives your IP address when the form is sent.
We use the information to reply to you and to follow up about FD Santa Tracker. We don’t sell your information.
If you email santa-help@respondermax.com instead, we use what you send to reply.
Marketing cookies (HubSpot)
This site uses HubSpot’s tracking code, which sets marketing cookies. It’s on by default, and you can turn it off at any time.
When it runs, HubSpot records the pages you view on this site, when you visit, how you arrived (for example, the site or search that referred you), your browser and device type, and your IP address, which HubSpot can use to estimate your general location. Its cookies, including __hstc, hubspotutk, __hssc, and __hssrc, recognize return visits and sessions. If you send the interest form, HubSpot links your submission to those earlier visits on this site.
We use this to understand how agencies find the site and to follow up on inquiries. HubSpot processes it for us as our CRM provider. We don’t sell it or use it for targeted advertising.
How to turn marketing cookies off
- Cookie settings: use Cookie settings at the bottom of any page and switch marketing cookies off. We delete the HubSpot cookies from this site and stop loading the tracking code. You can switch them back on the same way.
- Global Privacy Control: if your browser or an extension sends a Global Privacy Control signal, we treat it as a request to opt out. HubSpot’s tracking code doesn’t load, and Cookie settings shows that the signal is on.
Your setting is saved in this browser’s local storage, not in a cookie. It applies only to the browser you set it in, so set it again on another browser or device, or after clearing your browser’s site data. The interest form works whether marketing cookies are on or off. With them off, your submission isn’t linked to earlier visits.
This site doesn’t use Google Analytics, advertising networks, or social media pixels.
Hosting
The site is hosted by Vercel. Like most web hosts, Vercel keeps standard request logs that include your IP address, browser type, and the pages requested, to deliver the site and keep it secure.
The site’s fonts and images are served from the site itself, so loading a page doesn’t contact any other font or image service.
How long we keep it
We keep your inquiry in our CRM while we’re in contact with you, and delete it on request (email santa-help@respondermax.com). HubSpot cookies expire on HubSpot’s schedule, or sooner if you clear them or turn marketing cookies off. Vercel keeps its request logs according to its own retention practices.
Your choices
- Turn marketing cookies off or back on any time with Cookie settings, or send a Global Privacy Control signal from your browser.
- To see, correct, or delete the information you sent us, email santa-help@respondermax.com.
Children
This site is for agencies and the adults who work for them. It isn’t directed to children.
Changes
If we change what this site collects, we’ll update this notice and the date at the top.
